7-Asset Documentation
7-Asset is the IT asset register of the Information Technology Division. It records every IT asset from the day it is received to the day it is disposed of: where it is, who holds it, what condition it is in, and every movement, count and correction along the way.
These pages explain how to do each task on screen, one step at a time. Most pages also have a short video.
A two-minute tour
How 7-Asset works
A few rules shape almost every screen. Knowing them makes the rest predictable.
- A second person approves. Whoever prepares a movement, a correction or a count cannot also approve or sign it — even if their role allows approving.
- Counting never changes the record. A count, a self-audit answer or a problem report records what was observed. Any difference becomes a discrepancy, and only an approved correction changes the record.
- Custody moves when the receiver accepts. A released asset is in transit until the destination acknowledges it.
- A blocked button says why. When an action is not available to you, the reason is shown next to it.
Where to start
- Sign in and find your way
- Look after the assets assigned to you
- Find an asset
- Raise and work a ticket
What you see in the sidebar depends on your role. If a page describes a screen you cannot find, your role does not include it — ask your system administrator.
